The present terms and conditions apply to EOSC Winter School 2026, organised by EOSC Association, registered at the following legal address: Rue du Luxembourg 3, 1000 Bruxelles.
The regular travel package covers:
- 2-night stay (from Tuesday, 27 January, to Thursday, 29 January 2026) at the event hotel. It is not possible to purchase a travel package with fewer than 2 nights.
- Admission to the EOSC Winter School 2026 and the Brokerage Event, including access to all sessions, lunches and coffee breaks on 27-29 January 2026, all related meeting materials, the drinks reception on 27 January, and the dinner reception on 28 January.
The package does not include travel expenses or additional extras. All prices are exclusive of VAT.
Payment and Confirmation of Your Registration
The cost of the travel package for the EOSC Winter School 2026 is EUR 921,50 (excluding Travel Margin VAT) per person.
Participants’ place at the EOSC Winter School will be considered booked only once payment has been received and successfully processed. Payment can be made by bank transfer only. An invoice will be sent to the email address provided at the start of the registration process, together with the confirmation email, upon completion of the form.
Payment must be received by 12 January 2026, 23:59 CET. If payment is not received by this deadline, your registration will be cancelled.
Cancellation Policy - Cancellation by the participant
Participants are allowed to cancel their registrations until 12 January 2026. Until that date, payments already received by EOSC will be refunded (limited to the amount paid by the participants). However, a fee of 100 € will be charged to cover administrative and banking costs. Refunds will be handled after the event. In case of cancellation after 12 January 2026 or in case of no-show, fees paid for registration will not be refunded. If your registration fee has not been paid but you do not show up or you cancel after 12 January 2026, the amount of your registration remains due to EOSC.
Cancellation Policy - Cancellation by the organiser
If the organiser cancels the event for any reason other than force majeure, registration fees are refunded to registered and paid participants. However, refunds are limited to the amount paid by the participants. The organiser is not liable for any other loss or expenses incurred by participants as a consequence of cancellation. In the event that the EOSC Winter School 2026 would be cancelled, postponed or relocated on account of fire, flood, riot, earthquake, civil commotion, decisions taken by the national and/or local authorities, weather conditions, strike, lock-out, labour disturbances, explosions, sabotage, accident, terrorism, war, acts of God or any other causes or casualties beyond the control of the organiser, no refund shall be made. Participants to the EOSC Winter School 2026 waive all claims for damage in this case.
