The present terms and conditions apply to ECMA Convention 2026, organized by ECMA aisbl , Avenue de Tervueren 188A, 1150 Brussels, Belgium (hereafter named as "organizer") in the Lyon Marriott Hotel Cité Internationale, Quai Charles de Gaulle, Lyon, France on 22-24 April 2026 

Participants can cancel their registrations until 1 February 2026. Until that date, payments already received by ECMA will be refunded (limited to the amount paid by the participants). However, a fee of 100 EUR will be charged to cover administrative and banking costs. Refunds will be handled after the event. In case of cancellation after 1 February 2026 or in case of no-show, fees paid for registration will not be refunded.

If the organizer cancels the event for any reason other than force majeure, registration fees are refunded to registered participants. However, refunds are limited to the amount paid by the participants.  The organizer is not liable for any other loss or expenses incurred by participants as a consequence of the cancellation.

In the event that the ECMA Convention 2026 would be cancelled, postponed or relocated on account of fire, flood, riot, earthquake, civil commotion, decisions taken by the national and/or local authorities, weather conditions, strike, lock-out, labour disturbances, explosions, sabotage, accident, terrorism, war, acts of God or any other causes or casualties beyond the control of the organizer, no refund shall be made. Participants to the ECMA Convention 2026 waive all claims for damage in this case.

The organizer and its processor idloom process your data in compliance with European GDPR. The information you have provided is necessary to organize the event you will be attending, to generate invoices, to confirm your registration by e-mail, to create your badge and to allow you to modify your registration. This data may also be processed by the organizer upon its legitimate interest: to promote its activities by informing you about them, to show you offers from partners and sponsors regarding this event, to obtain analytics about this event, to ensure a satisfactory networking by showing your name, company, country and membership category on the list of attendees. You are entitled to object to these processing operations.

idloom shall only process User’s personal data in the European Union, or in third countries after having secured appropriate guaranties with the subcontractor or recipient. They are transferred to the country of the organizer. The organizer will keep your data after the event until the expiry of the legal retention obligations, in particular fiscal and accounting and until the end of the responsibility.

You can obtain from the organizer the written communication of your data, as well as, where appropriate, portability of the data, rectification, restriction of processing, deletion of data which is inaccurate, incomplete or irrelevant. For further information or to lodge a complaint you may also contact the supervisory authority of the country of your habitual residence.
