Terms and Conditions
These Terms and Conditions apply to the EUsalt Annual Events 2026, organised by EUsalt, registered at: 188a, Avenue de Tervueren, Postbox 4, B-1150 Brussels, Belgium (BE0871009817).
1. Registration Confirmation
Registration is confirmed only upon receipt of full payment of the applicable registration fee. Participants will not be granted access to the event unless payment has been received in full. Participants whose payment has not been received by 25 May 2026 (two weeks prior to the event) may be required to complete payment onsite by credit card to gain access.
Payment can be made by bank transfer or credit card during the registration process. Credit card payments are processed immediately and may be subject to additional charges. An invoice will be issued upon registration.
Registration fees do not include travel, accommodation, or any personal expenses. All prices are exclusive of VAT unless stated otherwise.
2. Visa Requirements and Invitation Letter
Participants are solely responsible for complying with visa requirements and should allow sufficient time for their application. EUsalt may share necessary registration details with relevant authorities to support visa applications but will not contact embassies or consulates on behalf of participants. To request an invitation letter, participants must first complete their registration and full payment. Requests should be sent to the EUsalt Secretariat.
In the event of visa refusal, registration fees will be refunded only upon submission of:

An official visa refusal document issued by the relevant authorities

Proof that the visa application was submitted at least one month prior to the event (no later than 8 May 2026)
3. Substitution of Participants
Participant substitutions within the same organisation are permitted free of charge until 29 May 2026.
4. Cancellation Policy – Participant
Cancellations must be submitted in writing.

Until 18 May 2026: full refund minus an administrative fee of EUR 100

After this date: no refund will be granted

No-shows are non-refundable
5. Cancellation Policy – Organiser
If the event is cancelled by the organiser for reasons other than force majeure, participants will be refunded up to the amount of fees paid. EUsalt shall not be held liable for any additional costs incurred (including travel or accommodation). In case of cancellation, postponement, or relocation due to force majeure or circumstances beyond the organiser’s control, no refunds will be issued. Participants waive any claims for damages in such cases.
6. Payment and VAT
In accordance with Italian law, a 22% VAT applies to all conference fees for events held in Italy, regardless of the participant’s country of origin. The reverse charge mechanism within the EU is therefore not applicable.
7. Travel and Accommodation
Participants are responsible for arranging their own travel, accommodation, and transportation.
EUsalt shall not be held responsible for any travel-related arrangements, including visa requirements. Participants are solely responsible for their bookings.
8. Code of Conduct
By registering, participants agree to comply with the EUsalt Code of Conduct.
This applies to all attendees, speakers, sponsors, exhibitors, service providers, and staff. Any participant experiencing or witnessing inappropriate behaviour is encouraged to report it to EUsalt staff.
9. Use of Content
Participants may capture and share photos or videos for personal use on social media using personal devices only. Participants must respect any restrictions communicated by speakers regarding the sharing of sensitive content.
EUsalt reserves the right to request the removal of any content that infringes privacy or intellectual property rights.
10. Liability and Insurance
Participants attend the event at their own risk and are advised to obtain adequate travel, health, and accident insurance. EUsalt, its partners, suppliers, and agents shall not be held liable for:
